We’re looking for a self-starting Project Coordinator to join our Project Management Office! The Project Coordinator will be responsible for providing administrative support to the Director, PMO, and the Project Management Office. This role will act as a project management champion by supporting Project Managers and delivery leads across the organization. Core duties include ensuring project documentation, scheduling, and reporting are accurate and up to date, as well as enabling effective project tracking and execution. The Project Coordinator will also facilitate communication between cross-functional teams, helping to ensure that project objectives and timelines are met efficiently.

What You'll Do

  • Oversee and support administrative activities throughout the project lifecycle, including new project requests, project closure, documentation management, and deployment of project workspaces and templates.
  • Gather and review monthly project status reports, coordinate corrections with Project Managers, and assemble the Monthly Project Portfolio Report.
  • Review project documentation to ensure compliance with PMO processes.
  • Provide day-to-day support to the Director, PMO, and assist in resolving support requests.
  • Facilitate meetings and record minutes and action items on behalf of the PMO as needed.
  • Assist in preparing and delivering in-house project management training, workshops, and sessions.
  • Support PMO and Project Managers on assigned projects, including leading workstreams, processing data/reporting requests, and facilitating meetings.
  • Support Project Managers and Project Leads with onboarding throughout the project lifecycle.
  • Actively support and contribute to process enhancements, often leading initiatives
  • Serve as the lead content administrator for the PMO SharePoint site.
  • Engage with the Project Management community, researching new technologies, tools, and processes.
  • Facilitate workshops to educate on new developments and generate ideas for continuous improvement.
  • Lead and manage small to mid-sized projects from initiation through completion, ensuring timelines, scope, and deliverables are met.

What You'll Bring

  • 1–2 years of experience in a project coordination, administrative, or related support role (experience in a PMO environment is an asset).
  • Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills, with attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with project management tools – familiarity with Atlassian Suite considered an asset.
  • A basic understanding of project management principles, methodologies, and documentation practices (CAPM or PMP certification an asset).
